The ask
A library the comms team can govern
The client’s asset library held years of event photography and brand assets, but uploads were unchecked and metadata patchy, so finding the right approved asset was harder than it should be, and nothing stopped the wrong ones spreading. We underwent a full rebuild using a modern tech stack to include better user experience and security.
Uploads
Rules at the door
Uploads are now capped by user group, and every asset must carry structured metadata before it can be saved: title, subject categories, people, dates and a review deadline. If the metadata is not filled in, the upload does not happen.
Downloads
Checkout, not free-for-all
Anyone wanting an asset adds it to a basket, declares what it is for and accepts the usage terms. Admins maintain full overview of approvals and declines for each request, and every decision is logged against the asset, so the library always knows who has what and why.
Governance
Recalls and consent on file
Because every download is logged, recalling an asset genuinely recalls it: everyone holding a copy gets notified and the asset is pulled from circulation. Watermarks appear on everything viewed on site, originals are released only on approval, and tokenised consent forms track permission from every person who appears in shot.
The outcome
Every asset accounted for.
